Landscaping of vacant lots

It has been 2 years since control of the Association was transferred from the Developer to the Homeowners and during that period we have taken many steps to enhance the overall appearance of Sandyport. We have now reached the stage that we should invoke the obligations of clause 29 of the Restrictive Covenants that states:

“… No lot shall be left without being landscaped for in excess of one (1) year from the date hereof unless a building has been commenced.”

We will be circulating individual notices of our intent to landscape the affected properties at the owners expense, in accordance with clause 27 of the Restrictive Covenants, if building has not commenced by September 30, 2012. The estimated cost for basic landscaping if carried out by the Association is $1.50 per square foot of each entire lot. Where necessary, all applicable charges will be made to the owner’s account on October 1, 2012 for payment within 15 days. No further notices will be issued on the matter.

Wastewater collection system

The Association is responsible for processing it’s own waste water which means that we receive sewage from private residences and pump the same to our waste water treatment plant. The system operates 24 hours per day, 365 days a year using a total of 14 pumps to ensure the effluent reaches it’s destination.

In order for the pumps to operate efficiently they need to be free of heavy matter such as cloths, towels, mops and t-shirts – all of which we have found in the system when we have experienced a failure. Although we have prevention and redundant systems in place, failures do place an unnecessary burden on the system which can lead to further and larger problems.

To that end we would ask that all residents be mindful of what material is disposed of via the sewer system and avoid dumping anything that may not pass through a pump in the toilet or drain.

Replacement poolside furniture

We appreciate the patience of residents whilst awaiting delivery of poolside furniture which we are pleased to advise is now installed. Each pool area is furnished with 4 chaise lounges with 2 side tables and a table with parasol and 4 chairs. The gazebo in phase V has an additional 2 chaise lounges with side table and table with parasol and 4 chairs. Please do not remove any furniture from their locations and also ensure that the parasols are closed after use. The community would appreciate the assistance of all residents to ensure that the furniture is handled in the proper manner.

Scheduled disruption to water service

In order to carry out a scheduled repair, the water supply will be disconnected at 10am on March 7th, 2012. The work should be completed within a few hours and we expect normal service by 3pm.

Lawn chemical application

Please be advised that we will be carrying out a chemical application around the common areas of the development commencing Wednesday March 7, 2012.

For safety reasons, signs will be placed in the areas being treated and we would ask that parents and pet owners pay particular attention to the affected areas.

Removal of items stored at the maintenance compound

Pursuant to the notice dated February 18, 2012, we are in the process of removing the items that were abandoned in Sandyport common areas and temporarily stored at the maintenance compound. The original notice can be found here.

In the event that residents have property stored at the compound, there is a storage fee of $200 per item which must be paid in advance directly to the Association office which in turn will make removal arrangements. Whatever items remain uncollected as of April 1, 2012 will be placed in an auction for prompt disposal.

Customer service

We have enhanced the ‘Report a concern’ ticketing system on our website to provide an integrated solution that allows all support queries to be tracked through a single unified process. Support requests can be created with any of the following methods:

  1. By clicking on the ‘Report a concern’ tab to the right
  2. By accessing the ‘Customer service’ panel from the top menu then by selecting the ‘Submit a request’ option
  3. By emailing support@sandyportmanagement.com with your address and message

The ticketing system has been successful to date and the benefits of using this method to report concerns include:

  1. Being faster since the system is designed to receive, track and progress chase to completion
  2. Creating visibility to what concerns are in progress and what stage they are at
  3. Not waiting for voice messages to be passed to the right department

However, we recognize that it is not always practical to report concerns electronically so our staff will open a support ticket if the information is called in and the query cannot be handled immediately.

In the coming weeks, the ‘Customer service’ section will be populated with helpful information so it may be worth checking before opening a new ticket in the event that your query may already be answered. Finally, those tickets created using the previous system will remain accessible until they are solved and closed.

Vehicle ID system

In October 2011 we issued a notice concerning the installation of vehicle ID tags. We have since updated the tags and we require all residents to have their new or replacement ID tags installed at the main security office located at the main entrance before March 31, 2012.

It has come to our attention that some persons may have paid for vehicle ID tags which are free issue. Those persons should contact the Head of Security, Ms. Barton, on 327-6943 immediately for resolution.

We will require the name, address and license number for each vehicle registered to a Sandyport resident to be recorded and the ID tag to be installed on the left side window. The ID tags renew annually with the initial set expiring December 2012. From April 1, 2012 all vehicles without an ID tag will be deemed non-resident and not granted entry until the resident provides authorization or the ID tag is installed.

To reserve your vehicle ID tag please contact security on 327-6943 or send an email.

Whilst those residents with automatic entry decals already installed will not require the ID tag to enter the property, we are encouraging all residents to register their vehicles. Residents should be aware that the automatic entry lanes are not opened manually and are reserved for those who have purchased automatic entry decals, details of which can be found here.

Water account deposits

The Board has determined that all water accounts shall be subject to payment of a $250 deposit in addition to new connection fees, where applicable. The deposit replaces the estimated (projected) water charges that were previously billed quarterly in advance.

Where the projected water charges from the previous quarter exceed the $250 deposit, the excess is credited to the account. If the projected water charges were below $250, the difference is charged to the account. This difference between the projected water and $250 deposit will be reflected on the next statement as a ‘Deposit adjustment’.
