Year end message from the Board of Directors

In the last year, who would have thought we could have accomplished so much.

It is with great pride that we speak to the transformation that has taken place in Sandyport. Plans are to continue refining our collective energies and remain focused on the rejuvenation of the neighbourhood.

We would like to take this opportunity to thank the inaugural board for their hard work; we have been in good hands. In our effort to build on what they have started, we realize that we have some big shoes to fill.

Since end of October, there have been semi monthly board meetings after which the lengthy to-do list our General Manager, Simon Cooper, receives is executed with enthusiasm and passion. We extend our sincere thanks to him and his team for their efforts.

Stay tuned as 2011 promises to bring many more ideas for beautifying our community and keeping all properties safe.

Paint schedule for 2011-2013

We have published the paint schedule for the 2011-2013 period. Every dwelling for which the Association is in possession of a copy occupancy certificate as of today’s date is scheduled to be painted during this time.

Holiday business hours

These are the operating hours for administration and maintenance personnel over the holiday period:

Dec 24th – 8am – noon
Dec 25th – 28th – closed
Dec 29th – 30th – 8am – 4pm
Dec 31st – 8am – noon
Jan 1st – 3rd – closed

Business resumes as normal on January 4th. In the event of emergencies outside of business hours, please contact 327 6943.

List of assessed addresses

We are pleased to be in a position to publish the list of addresses that are subject to assessment for the purposes of calculating the annual maintenance fees. The information may be found by clicking here. Note that some homes are still under construction therefore removed from the calculation (indicated with a note ‘A’) and others are based on preliminary measurements which may be subject to change (note ‘B’).

2011 Assessment Notice

The Board of Directors of the Sandyport Homeowners Association met at a Board Meeting on December 11, 2010 and set the Association’s Annual Assessment Fee for 2011 at $2.75 per square foot.

The 2011 budget is attached and the changes will take effect from January 1, 2011, to be billed in December 2010.

We are also pleased to confirm that there will be a number of payment options available:

1. Payment in full by January 15th for the 2011 assessment will receive a 3% discount, which can be deducted at the time of payment.
2. Monthly – due on the first day of each calendar month, commencing January 2011.
3. Quarterly – due on the first day of January, April, July and October.
4. Half yearly – due on the first day of January and July.

You will receive your 2011 assessment invoice in full later this month and be able to select your payment options at that time.

Security updates – December 2010

Warm Season’s Greetings to our residents!

Thankfully, November was a quiet month in Sandyport. Just a friendly reminder to all residents to  please remember to take along a doggy bag when walking your dogs. We have noticed an increase in incidents with dogs. There are occurrences where the doggy bag with the waste in it is thrown on the side of the road, please consider other residents when walking the dog.

Christmas party guests

It is the time of the year when residents host their Christmas parties and family get-togethers.  In order to ensure guests are not held up at the Security gate for clearance, please send a list of expected guests to the Security control room the day before the event. The list should include the visitor’s names as well as the total amount of persons expected.

Family and friends listing

If any resident has family and friends that frequent the property and do not want them to be held up at the gate. Please  provide a list of these persons to Security to keep on file. Security will otherwise carry out their expected duty of calling for each person not on the list without any exceptions.

Visitor badges

As previously mentioned, all workers including construction workers, gardeners, and contractors will be issued visitor badges on arrival at the service entrance. The new procedure commences December 13, 2010, initially with construction workers. In order to make this process flow please remind your private gardeners and service workers that they are not to use the main entrance. They are required to use the service entrance for entry AND exit. The only exception will be female pedestrian workers that have been pre-registered by their employers.

We are presently carrying out an exercise of obtaining the names of the maids and their employers. If a worker is terminated, please inform security so that we can ensure that disgruntled workers are not permitted on the property.

Removal of property by third parties

In the event that a resident requires a third party to collect private property (such as a boat or jet ski), please notify security of the details of the property to be removed for identification purposes together with the party authorised to collect the same. When the property exits the estate, security will identify it and contact the owner with details in order to verify that it is the correct item being removed.

Stray pets

We have set up various traps to help humanely capture stray pets (specifically dogs). We would like residents to take care and ensure that their pets are not able to roam freely as they may be caught in one of the traps and ultimately end up in the care of the Humane Society if we are unable to contact the owner within 48 hours.

Resident pet owners may consider including an emergency telephone number on their pet tags, allowing security to quickly reunite a captured pet with its owner.

Pest control concerns

We have previously informed residents that we have expanded our pest control coverage by adding more rodent bait stations. The bait stations contain a block of poison that is skewered on to a spike located inside a compartment inside the bait station box. For safety reasons, they are designed to be tamper proof so that children and domestic animals cannot access the poison.

However, it has been brought to our attention that poison pellets (not used by the pest control contractor) have been placed in and around the bait stations. These are potentially hazardous if ingested and also undermines the safety precautions we have taken with our pest control. Should anybody witness poison being placed on any common areas, please report it immediately to the Association which reserves the right to bring criminal charges against offenders.

Policy for the entry of service workers

Following a review of our security requirements, the Board of Directors has determined that all service workers must enter the property via the service entrance (also known as the Eastern gate). This policy applies for pedestrian workers and those in vehicles. The only exception applies to pre-registered female pedestrian employees (such as maids, cleaners & childminders) who will continue to be permitted entry at the main gate. The service entrance is equipped with a new visitor control system that requires service workers to wear a visitor identification badge whilst on the property.

Important changes to water billing

The Board of Directors has determined that water shall be charged at the rate of $0.026 per gallon in order to eliminate the losses incurred through it’s provision of water. The Association presently purchases water at the higher commercial rate and the Directors are attempting to have Water & Sewerage Corp. reconsider the billing structure with a view to a reduction. If successful, the water charges to all homeowners will be adjusted at that time. The new rate becomes effective January 1, 2011.

Water consumption shall also be billed quarterly in advance based on estimated consumption and adjusted each quarter. The next water billing cycle takes place in December and will include a further line item for estimated consumption for the next 3 months. Therefore, the bill will show the present quarter’s consumption at the present rate of $0.0186 per gallon (less a credit for interim charges) and the next quarter’s estimated consumption, at the new rate. The $5 meter reading charge, which was historically added to the consumption, will no longer apply.
